Outdated platform caused frustration

PPC Pittem is a specialist centre for psychiatry and psychotherapy, offering care pathways for patients aged 15 and over, both on an outpatient basis and through full hospital admission. To keep staff informed about what is going on in the hospital, PPC Pittem has been using an intranet for many years, but in the past this did not always run smoothly, particularly as no one really felt responsible for it.

“Our old intranet was really in need of replacing two years ago,” says David Strobbe, Financial and Administrative Director at PPC Pittem. “We wanted a new, modern application where we could centrally manage all communication for our staff and which Aurelie, our communications manager, could get to work with.” With this request, PPC Pittem turned to its long-standing IT partner, Savaco.

A modern hub for communication

Aurelie Hoornaert, communications officer, teamed up with the Savaco team to develop a new intranet based on SharePoint. ‘We began with a kick-off meeting, during which I explained how I envisaged the structure,’ she says. "Savaco then took care of the entire technical set-up of the new platform. After that, I was able to simply start adding the right content in the right place.”


What exactly has changed? Quite a lot! The existing newsletter has been replaced by a news section on the intranet, featuring an alert system that makes urgent notifications immediately visible to everyone. “Take a telephone line going down, for example,” explains Aurelie, “Everyone is informed straight away, and as soon as the issue is resolved, the notification disappears.” In addition, the new intranet now features separate pages for each care pathway offered by PPC Pittem, a telephone directory, and an overview of on-call services – all useful information that is now always up to date and easy to find.

MyCare: the patient intranet

The new intranet is more than just an internal communication tool. A great deal of information has also been centralised for patients. “Our patients now have their own kind of intranet: the MyCare platform,” explains Nele Smits, IT technician at PPC Pittem. Just like staff, they can find hospital-wide news, urgent notifications, information on treatments, care pathways and more. But they can also easily access personal information such as appointments via MyCare. In addition, patients can view the hospital restaurant menu and order a meal in advance – simply from home, via their smartphone. “Patients no longer need to travel to stay informed. They can simply check their smartphone to see what’s been posted,” says Aurelie.

A long-standing partnership that makes a difference

PPC Pittem and Savaco have been working well together for years. ‘PPC Pittem has been relying on Savaco for many years for infrastructure, servers, networks and so on. They also provide a 24/7 helpdesk for our IT department, and together we are focusing more and more on applications,’ explains David Strobbe. The process of moving to the new intranet was also viewed very positively.

But what matters most of all is that the new intranet is really making a difference today, not just for staff, but for patients too. ‘Communication is much easier; everything can be found in one place,’ concludes David. ‘The fact that the intranet is also available on smartphones makes everything even easier, even if you don’t spend as much time at a computer.’
